The University of Fort Hare seeks to appoint a suitable and experienced candidate for the vacant post of a Deputy Registrar (Academic Administration) in the Office of the Registrar, serving all campuses. Reporting to the Registrar, the Deputy Registrar Academic Administration will manage and provide effective admission service to prospective students which will include the enablement of secure and correct records of all students and alumni, while ensuring minimum risk to the university in the maintenance of the academic structure. The individual appointed will be entrusted with oversight and holistic management of the portfolio, ensuring the highest standards in academic administrative support across all university levels.
Job Description
Duties:
- Ensuring effective applications, admission and registration processes/systems including dealing with general enquiries from prospective students;
- Records management and security (for both current and archived records);
- Developing Prospectuses and maintaining General Academic Rules;
- Coordinating examinations, timetabling (lecture and exams), and venue allocation;
- Organising graduation ceremonies;
- Supervising the Student System operations;
- Development of related regulatory documents, and ensure compliance;
- Chairing of operational committees as they apply to the admission of students, assessment processes, student records, certification of graduates and the filling of posts or the promotion of staff (supported by the Human Capital Division to ensure the University's regulations, guidelines and policies are adhered to).
- Delegated responsibilities from the Registrar
The key responsibilities include:
- Strategic leadership as it applies to the Academic Administration portfolio (with skills for directing a large, diverse team);
- Stakeholder management (internally, these include University Teaching and Learning Centre, as well as Faculties, departments and units within the institution. Externally, with the DHET, DBE, USAF and other external bodies.)
- Managing finances and the budget for the portfolio;
- People management and staff support, monitoring and development.
Skills required:
- Ability to work autonomously, with strong attention to detail, particularly under tight deadlines;
- Leadership skills for directing a large, diverse team;
- Proficiency in information management, organizational strategies, and problem-solving abilities;
- Fiscal responsibility as the budget overseer for the division.
Travel between campuses is part of the role; and additional responsibilities may be assigned by the Registrar in collaboration with other executive members.
Inherent Criteria
Minimum requirements:
- A relevant Master's degree or equivalent
- A minimum of 8 years ‘comprehensive experience in University Academic Administration; at least 5 years’ should be experience in managerial position/s
- In-depth knowledge and understanding of university student administration, application, admission, registration, examination and graduation processes, systems, as well as application of the HE legislation, policies, rules and procedures
- Knowledge of the ITS student sub-system or a similar system
